What to include in a quotation

A clear quote protects both you and your client. Make sure every quote covers the following.

  • Your business name, contact details and VAT number (if registered)
  • A unique quote number and the date the quote is valid until
  • The client's name and the site or job address
  • Itemised line items — split into materials and labour where possible
  • Quantities, unit prices and a line total for each item
  • The subtotal, VAT (15% in South Africa), and the grand total
  • Your payment terms — deposit, balance, and how long the quote holds
  • A clear note that the quote is an estimate where scope may change

VAT for South African quotes

The standard VAT rate in South Africa is 15%. If your business is VAT-registered, you must charge VAT on most supplies and show your VAT number on the quote. This template adds 15% VAT automatically.

Not VAT-registered? Set the rate to 0% — the quote will simply show a subtotal and total with no VAT line. In SmartQuote you can toggle VAT on or off and set a custom tax label and rate per business, and override it on any individual quote.

Show the subtotal (before VAT), the VAT amount, and the grand total (VAT-inclusive) so the client always knows exactly what they pay.

What is a quotation template?

Does the template work with South African VAT?

Yes. The template calculates 15% VAT, the standard rate in South Africa. If your business is not VAT registered, set the rate to 0% and the template simply shows a subtotal and total.

Should prices be VAT-inclusive or VAT-exclusive?

Either is acceptable. Showing the subtotal (VAT-exclusive), the VAT amount, and the grand total (VAT-inclusive) is clearest for clients and is what this template does by default.

Can I export the quote as a PDF?

How long should a quote be valid for?
